Change a dance course couple registration: Link separate confirmations

By Mary De LucaUpdated

In short
  • Two separate confirmations alone do not prove that your partner pairing is missing from the dance course.
  • The same course number, start date and level are the basis for linking your existing registrations.
  • Please explicitly ask the provider to pair you, giving both booking numbers, without cancelling or making a new booking.
  • Ask for written confirmation that both people are paired together in the specific course.

On the first day of class, you want to learn steps, not explain why there are two bookings. A clear correction note helps the office match you with the places you already have, without turning a small allocation issue into a new registration.

What you need for the correction

  • Both confirmations with full names
  • Both booking numbers, if available
  • Course number, course level, start date and time
  • Consent from both people to be matched together
  • Provider's contact address from the confirmation

Individual confirmations are not yet evidence of an incorrect booking

A course confirmation can be issued to each person individually: each registered person then receives their own message, even though both are listed internally as a couple. If the other person's name is missing, that is initially an information gap. If it explicitly says “individual registration” or gives the wrong partner's name, you have a concrete reason to request a correction. You should also read such details in context: for example, an individual invoice tells you nothing certain about how you are paired.

Individual registration, a confirmed place in the course, and being paired together are different pieces of information. A payment received does not replace confirmation of your place or your pairing. A simple acknowledgement of receipt, in turn, initially confirms only that your registration has been received. A guaranteed place in a singles course is also not automatically a confirmation that you will be paired as you requested.

For two registrations to be linked, they must both be for the same specific course. Choosing the same dance style is not enough if the dates or groups differ. If you are at different levels, the issue also concerns your joint admission to the course level. A simple pairing does not resolve this difference. So keep separate what was entered incorrectly and what has simply not yet been explicitly confirmed. This keeps your request limited to the existing booking.

Booking numbers distinguish your bookings, even when multiple participants have the same last name.

How to link your registrations

  1. Compare both booking records side by side

Open both of your confirmations and note each person's name, booking number, and status. Distinguish “Registration received” from an actual confirmation of a spot, so you don't accidentally claim that two spots are confirmed when one is still pending.

  2. Match the specific course details

Compare the course number, location, start date, time, and level. If these details match, you can request to be placed together; if they differ, name both booked courses and your desired target course instead, without suggesting that the transfer has already taken place.

  3. Name the missing information

Write down exactly what is missing or incorrect: no name confirmed by both parties, no explicit individual assignment, or an incorrect partner name. If you only have separate messages, phrase it as “We cannot identify the pair assignment” instead of “You booked us incorrectly.”

  4. Draft a joint message

Use this template: “Subject: Pair assignment, course [number]. Please assign [name, booking number] and [name, booking number] as a pair. Both existing registrations should remain in place. Please confirm both names, the course, and the pair assignment to us in writing.”

  5. Add the consent and send it

Add “We both want this pairing” and send the message to the provider from the confirmation. CC the other person with their consent; if the provider requires separate consent, they can reply in the same message thread.

  6. Interpreting the response

Read the response in light of your request: Are both people assigned to the same course as a couple? A general message such as “Change completed” is still imprecise. Reply in the existing thread with the missing information instead of opening a second, separate request.

  7. Save the corrected version

Save the clear confirmation together with the original confirmations. A written addendum can document the corrected version, even without new confirmation files. If it unexpectedly includes different dates, prices, or a name that has been removed, don’t treat the correction as complete yet.

Keep the correction narrowly scoped

Like this

  • Ask to have the existing partner assignment corrected
  • Send only the booking details required
  • Use a shared message thread
  • State any missing information clearly and specifically

Not this way

  • To be safe, cancel both spots and book again
  • Attach copies of IDs or full payment details
  • Send multiple conflicting change requests at the same time
  • Immediately assume there was a booking error based on separate emails

Frequently asked questions

  1. No, a joint payment does not by itself prove that you are registered as a pair. The payment may cover several registrations without documenting their connection for the class. So include the relevant booking numbers. You only need payment receipts for this process if the provider cannot otherwise identify the bookings.
