Cancel your dance course: withdrawing before the first session

By Bernhard De LucaUpdated

In brief
  • For a course block that has not yet started, voluntary cancellations are subject to the agreed cancellation terms.
  • Check your booking documents for the cancellation deadline and any cancellation fees.
  • Send a clear cancellation request using the designated contact method and keep proof that you sent it.
  • A transfer to another course is only agreed once the provider confirms the new course place and costs.

A change in your schedule at work or at home can make it impossible to attend a course you've booked. It becomes especially unpleasant when a brief cancellation turns into an outstanding payment issue.

These are the documents you'll need

  • Booking confirmation with the course start date and booking number
  • Cancellation terms agreed upon at the time of booking
  • Course fee and proof of payments already made
  • Contact address or cancellation option provided

A reserved spot remains booked until you cancel

A fixed course block reserves lessons on specific dates. If you do not show up, this does not automatically count as a cancellation. The dance school has planned for your spot, possibly including a partner assignment. That is why not attending and cancelling are two different things: You can stay home while the booking and payment obligation remain in place.

For an agreed cancellation before the course starts, the terms that apply to your booking are what count. They may include a free cancellation period, tiered fees, or the option to reschedule. There is no single fee rate that applies worldwide. A stated flat fee is not legally valid simply because it appears in the terms. If a claim is disputed, your rights depend on the applicable national law and the specific contract.

A compact course is not automatically subject to different cancellation terms than a weekly block. Its format as a dance intensive course explains the lessons, not your cancellation rights. The agreed terms for that specific booking remain decisive. So keep a copy of the version that applied at the time, rather than relying only on a website that may have been updated since. This process concerns cancelling before the course starts, not a statutory right of withdrawal, an ongoing subscription, or a cancellation by the school.

The feet and shoes of a dance couple, a man and a woman, practicing ballroom and Latin dances such as Salsa
Dance shoes you have already purchased are not included in the course fees. They remain your own expense even if you cancel.

Request a cancellation in seven steps

  1. Identify the right booking

Open the confirmation for the course block that has not started yet and note the course name, start date, booking number, and participants included in the booking. If you have multiple bookings, this combination pinpoints the spot you want to cancel.

  2. Determine the final cancellation date

Apply the deadline in the agreed terms to your start date. Example: “up to and including November 10” includes that day; “before November 10” means it must be received earlier. Note whether calendar days or business days are specified and which receipt date is decisive.

  3. Calculate the Possible Deduction

Match your cancellation date to the applicable fee tier. Calculation example, not a standard rate: For a course fee of 120 euros and a 25 percent cancellation fee, 30 euros would be due. Of the 120 euros paid in full, 90 euros would remain refundable, provided no other valid deductions apply.

  4. Choose cancellation or rescheduling

Decide whether you want to give up your spot or request a specific later course. A rescheduling request does not automatically end the original booking, so explicitly state what should happen if rescheduling is not possible, if you actually want to cancel in that case.

  5. Clearly word your request

Use this template: “I request to withdraw from the course [name], starting [date], booking number [number], for [people]. Please confirm the cancellation, the cancellation fee, and the refund amount.” If you are requesting a transfer, add the course you want to transfer to and what you would like to do if your request is declined.

  6. Send via the designated channel

Send the request to the contact listed in your booking documents or use the designated cancellation function. Keep a record of the message, the time it was sent and the automatic confirmation of receipt; a phone call or a message to the instructor’s private number is not a reliable substitute for the agreed channel.

  7. Document the settlement

Link the response to your booking and record the status, fee, refund amount, and stated payment date. If your booking is rescheduled, include the new course start date and any additional costs; if the settlement differs from your calculation, specify the exact discrepancy in writing.

Be clear instead of leaving things open-ended

Yes, like this

  • Write “I am requesting cancellation of booking [number]”
  • For a partial cancellation, name the person affected
  • List the cancellation fee and refund amount separately
  • When rebooking, specify the course you want to switch to

Not like this

  • Only write “I probably can’t make it”
  • With a partner booking, cancel “our spot” without explanation
  • Only ask about “the money”
  • Ask for “some kind of postponement” without suggesting a date

Frequently asked questions

  1. You can do so for free under this guide if the agreed cancellation policy allows it for your timing, or if the provider waives the fee. “The course hasn’t started yet” is not enough on its own. However, if there is no voluntary free cancellation policy, that alone does not determine what claim is legally permissible.

Your next course needs time

On udansa, you can find dance courses with a later start date if the previous course block doesn't fit your schedule. Once you've completed your withdrawal, you can plan a regular class time again.
